Use a reproducible register with pass, hold and fail states to test a creator discovery platform
A method for testing a creator discovery platform against a written register of indicators with pass, hold and fail states, plus UK evidence checks and examples.
What to take away
- A creator discovery platform test becomes reproducible when every indicator has a written pass, hold or fail state before the trial starts.
- Three evidence families matter most: data protection, advertising disclosure and vendor identity.
- Unresolved hold states should become work samples, not assumptions.
- A register replaces a forecast because it records what you checked, what you could not check and what you will check next.
Build the register before you open the trial
Write the register as a spreadsheet with five columns: indicator, source, pass state, hold state, fail state. Do this before a sales call. A platform demo will push you toward its own metrics. Your register keeps the test on your terms.
Register Columns and Indicator Rules
- Five columnsindicator, source, pass, hold, fail
- Build before any sales call or demo
- Repeatablecategory, filters, date window, output
- Aim for 12 to 18 indicators
- Under 10 misses compliance and data quality
- Over 20 slows cross-vendor comparison
Choose indicators you can repeat with the same inputs. A repeatable indicator names the creator category, the search filters, the date window and the output you will inspect. Vague indicators such as "good UK coverage" fail this test.
Aim for 12 to 18 indicators. Fewer than 10 misses compliance and data quality. More than 20 makes the trial slow and hard to compare across vendors.
Indicator states: pass, hold and fail
Indicator states
| Indicator | Pass | Hold | Fail |
|---|---|---|---|
| UK creator coverage | 20 named England creators in your niche | 10 to 19 | Under 10 |
| Data protection terms | Signed processor clause and retention rule | Clause pending legal review | No clause |
| Ad disclosure check | ASA rules shown in workflow | Manual check only | No disclosure step |
| Vendor identity | Companies House record matches trading name | Record unclear | No UK record |
| Export format | CSV with consent status | CSV without consent status | No export |
A hold state is not a soft fail. It means the evidence is missing or incomplete. Record the owner and the next evidence date in the register.

A five-step trial routine
- Fix the date window and creator category. Run the same search on every platform.
- Score each indicator against the written pass, hold and fail states.
- Save screenshots, export files and contract pages in one folder.
- Ask each vendor the same three questions about data, disclosure and pricing.
- Convert every hold into a work sample or a decision to stop.
This routine takes about two days per platform. It produces a comparable record.
Evidence checks for a UK trial
Check the vendor's data protection terms against the ICO guidance hub. A creator discovery platform holds personal data, so lawful basis, retention and processor terms belong in your register. ICO UK GDPR guidance hub
Check advertising disclosure rules from the ASA. The register should show how the platform flags paid partnerships on TikTok and Instagram. ASA advertising codes
Check the vendor's registration on Companies House. A matching UK record supports a claim about local support and invoicing. Companies House
Also budget with VAT and monthly subscription costs in mind. HMRC publishes VAT guidance, but you do not need to link it if your finance team already holds the rule.
Example: a fashion retailer scores two platforms
A London fashion retailer running this register might score two platforms like this. Platform A passes UK coverage but holds on consent status in exports. Platform B fails coverage but passes on data terms.
The retailer keeps Platform A for a paid trial and turns the export hold into a work sample. The team builds a small test file with consent columns and checks it against the ICO guidance. No platform wins on a single score.
A hold state is a task, not a verdict. The register tells you what to build or ask next.
Turn holds into six work samples
Unresolved indicators need evidence, not opinions. Convert them into six capability exercises for the team. These cover evidence, privacy, rights, accessibility, security, evaluation and safe recovery. See six work samples for the full set.
Each work sample should take under two hours and produce a file. Examples include a consent audit, a disclosure checklist or a data migration test. The output goes back into the register.
Replace the forecast with a register
A forecast says what will happen. A register says what you tested and what remains open. If your board needs a market view, use reproducible indicator register to build bounded scenarios and state the evidence limits.
Keep the register live. Review it each quarter and update fail states when rules or platform features change.
- One folder per platform for exports and screenshots
- One owner per hold indicator
- One review date per quarter
- One register shared with legal and finance
Common questions
How many indicators should a register hold?
Twelve to eighteen. That range covers coverage, compliance, data and commercial terms without making the trial slow.
What makes an indicator reproducible?
It names the creator category, filters, date window and output. Another person can run it and get the same score.
How do I handle a hold state?
Give it an owner and a due date. Then convert it into a work sample or close the trial.
Do I need legal review?
Yes for data protection and contract terms. The ICO guidance hub and your own solicitor should confirm the register wording.
