Strategy
Part of Creator discovery platforms strategy: a buyer decision first
Creator Discovery Platforms Planning Template: Expiry and Exit Record
A creator discovery platforms planning template built on dated evidence: expiry rules, recheck triggers, deletion terms and an owned, checkable export.
This creator discovery platforms planning template is deliberately blank. Complete it for one English buyer decision and one bounded creator-discovery task. Do not fill gaps with profile inference, supplier marketing language or assumed campaign results.
What to take away
- Every evidence field carries an evidence date and an expiry date, and an expired field counts as blank.
- Default validity is 12 months for stable company data and 90 days for contact, audience or rate data.
- Recheck when the expiry date passes, the creator changes representation, the campaign scope changes or a supplier changes its data sources.
- Each stored field states who may correct it and when it is deleted.
- The record ends in an owned export with a schema and an integrity check.
Decision header
Fill this header first. It names the decision, the people who can change it and the date on which the whole record stops being valid.

Decision and people fields

- Buying unit and campaign context
- Advertiser user and account owner
- Procurement or budget authority
- Supplier or platform operator
- Agency or talent intermediary
- Decision date, expiry and recheck trigger
Write the operational need without a product name. State what the manual register cannot presently do and what evidence would change the decision.
Dating every field
Use ISO date format YYYY-MM-DD for every evidence date and expiry date. Default validity is 12 months for stable company data and 90 days for contact, audience or rate data.
Recheck when the expiry date passes, the creator changes representation, the campaign scope changes or a supplier changes its data sources. Until the recheck is done, treat the field as unknown rather than carrying the old value forward.
Candidate-data inventory
Add one row per proposed field. The last column matters as much as the first: a field with no correction and deletion rule does not belong in the record.
| Field | Purpose | Source and permission | Definition | Claimed or verified | Freshness | Correction and deletion |
|---|---|---|---|---|---|---|
| [blank] | [blank] | [blank] | [blank] | [blank] | [blank] | [blank] |
| Creator handle | Shortlist one English creator for a bounded campaign | Public profile page; no contact purpose yet | Handle as displayed on the platform | Claimed | 2026-05-01 | Suppress on creator request; delete after campaign plus 12 months |
The ICO says organisations should identify and document a lawful basis before processing. A named privacy reviewer must decide the case-specific route, roles, transparency, rights, retention and transfers.
The ICO's storage limitation principle says you must not keep personal data for longer than you need it. The UK GDPR also introduces a right for individuals to have personal data erased. Both belong in the deletion column.
Option record
Assess the manual register, current approved service and each procurement candidate separately. For each route record version, service boundary, evidence date, fields, access method, source permissions, user roles, contract entity, support, accessibility, security, export format, deletion process and change notice. Enter unknown rather than passing an undocumented field.
Keep all commercial cells buyer-owned:
- licence or service unit, quantity, currency, VAT basis and period: [blank];
- implementation, assurance and staff time[blank];
- creator consideration, paid media and campaign productionexcluded from discovery comparison unless expressly scoped;
- cancellation, data export and exit work: [blank].
Public list prices are uncommon. A typical UK discovery platform subscription is quoted per seat per month or per campaign; the figure depends on seats, creator volume, data retention and contract length. Ask for a written quote. No score or weight should be added until the decision owner records its rationale.
Test log and stop rules
Use synthetic data first in a segregated, non-production environment. Record test object, version, expected result and observer. Log evidence for access control, duplicate handling, provenance, correction and suppression, and cover export, deletion and recovery.
Record who can restart after a stop and the remediation evidence required. The creator record quality checks set out when a record must be held.
Exit export and integrity check
End the record with an owned export, schema, integrity check, deletion instruction, retained audit record, successor process and date for revalidation.
Example export schema: export_id, creator_ref, field_name, value, source_url, evidence_date, expiry_date, verified_by, row_hash.
- Generate a SHA-256 hash for each row.
- Generate a manifest hash for the whole file.
- The recipient runs
sha256sum export.csvand compares the result with the manifest.
Common questions
What about commercial cells?
Keep all commercial cells buyer-owned.
How long is a piece of evidence valid?
Twelve months for stable company data and 90 days for contact, audience or rate data, unless the decision owner records a different period and the reason.
What should an export contain?
Every field with its source, evidence date, expiry date and verifier, plus a row hash and a manifest hash so the recipient can check nothing changed.
